Readiness for compliance recording – Where do you sit on the maturity scale?
Most organisations only think about their compliance recording setup when a rule changes or an audit looms. However, there are two dimensions to consider, which will determine how ready you really are.

The regulatory landscape: a moving target
First, in financial services and other regulated sectors, compliance rarely sits still. Rules evolve, new laws emerge, and your business units may grow into new markets with different expectations.
MiFID II, DORA and GDPR differ in scope, but the practical demands for recorded interactions include some core common requirements.
For compliance, you need to be able to show that:
- Recordings have not been altered or deleted before retention expires.
- You can demonstrate exactly who accessed a file and when.
- You can identify who spoke to whom, on which device and at what time.
The multi-channel challenge
Second, your conversations take place over different channels. Your team may use a fixed UC platform — a Cisco CallManager, Ring Central solutions, or something else — and you’ll also probably use something like Microsoft Teams, and probably mobile devices.
And that’s a relatively straightforward environment — there may be industry specific solutions, such as Bloomberg, Refinitiv, or others — depending on your business activities.
Each channel becomes part of the compliance perimeter, and recordings from each must meet the same evidential standard.
The risk: fragmented stacks and silos in your compliance stack
Trying to keep every channel compliant across several rule sets is often where things begin to fray. You may find yourself dealing with:
- Fragmented systems and silos
- Data that will not line up
- Gaps in your logs and metadata
- Incompatible or misaligned formats
As a result, responding quickly to regulatory requests becomes harder. Stitching together a conversation that spans all those different channels or running a consistent audit takes time.
The same fragmentation also makes GDPR subject access requests and reliable access-log traceability difficult to demonstrate.
So, with that in mind, it’s worth considering the maturity of your compliance recording framework. To help, we’ve devised a simple, four-step scale that can easily be applied to any business covered by relevant legislation.
This maturity scale gives you a straightforward self-check to map the status of your communications compliance across channels; which data you have a complete auditable view over; and where the gaps might be.
Use it to gain clarity early and identify the most immediate improvements with your team.
The Touch Call Recording Maturity Scale
These four levels reflect the pattern we see most often. Many organisations assume they operate at Level 3 or 4, only to discover they sit closer to Level 2 when they look closely.
Level 1 — Partial
Not all required channels are captured, or recordings are not tamper-proof. Coverage is incomplete and the archive lacks integrity. Regulatory defence is fragile from the outset, and critical evidence may be missing or unreliable.
Level 2 — Patchwork (siloed)
All channels are captured, but each in its own silo. Metadata, identities and retention rules differ across systems. Compliance and IT teams spend valuable hours reconciling the fragments from which each conversation is composed. It works, but it is inefficient and prone to manual error.
Level 3 — Consolidated (Reactive)
All channels are brought together into a single, auditable platform. Users and identities are mapped across systems. Governance is consistent. Investigations can be run from one place, cutting time-to-answer dramatically. New channels can be added without creating new silos.
Level 4 — Consolidated (Proactive)
Coverage and control are mature. Data is indexed and standardised for analytics. Compliance shifts from reactive searching to proactive and AI-assisted supervision, with automated flagging of risks or anomalies.
So, where are you on this scale? If you have any doubts, get in touch, and we’ll help you map out your position — and help you develop a strategy to reach Level 4.
Self-check: which level are you?
To see where you sit on the scale, ask yourself six questions:
|
Question |
Yes / No |
Guidance |
|
Are all relevant communication channels (voice, SMS, trader voice, Bloomberg/Refinitiv chat) included in scope? |
Yes No |
No = Level 1 (Partial) |
|
Is it technically impossible to delete or alter a recording before retention expires? |
Yes No |
No = Level 1 (Partial) |
|
Are all data stored in a single, central repository with oversight across channels? |
Yes No |
No = Level 2 (Patchwork) |
|
Are identifiers (phone, Teams ID) automatically mapped to one individual? |
Yes No |
No = Level 2 (Patchwork) |
|
Can you demonstrate consistent retention rules and access logs across channels? |
Yes No |
No = Level 2 (Patchwork) |
|
Can you export a complete, time-aligned audit bundle without manual stitching? |
Yes No |
Yes = Level 3 (Consolidated) |
Bonus check for Level 4:
Is your data indexed and standardised so analytics or AI-driven supervision can run without significant preparation? If not, you may be audit-ready today, but not yet ready for automated surveillance. For more detail, see our guide to AI-Ready Communications Surveillance.
Closing thought
Most firms sit somewhere between Patchwork and Consolidated. The step to Proactive may look ambitious, yet each move towards consolidation makes daily work easier and audit readiness stronger.
If you answered “No” to questions about consolidation or identity mapping, you are likely operating in Patchwork mode. Talk to our experts to find out how we can help.
